Responsibilities

  • Supporting employees' welfare on site, ensuring efficient working environment
  • Administrative support and assistance to site personnel provided
  • Liaising with local Suppliers, e.g. cleaning company, laundry, security, waste management companies, shipping agents, port authority etc.
  • Assisting the Site Manager in communicating with internal IT department
  • Ensuring adequate availability of supplies for office/site/canteen (stationary, office consumables etc.), filing associated requests for order,
  • Administrative support to maintain agreements for accommodation, site vehicles etc.
  • Creating and monitoring vehicle logbooks / records,
  • Assisting with keeping record of site staff hours worked and logging holidays and sickness days,
  • Assisting in travel arrangements to/from Pre-assembly site for visitors and new arrivals,
  • Coordinating, welcoming and introducing visitors to site procedures (assisting with port pass application, distribution of information related to site procedures),
  • Assisting site management team with event planning,
  • Oversee and coordinate the booking of meeting rooms on site.
  • Qualifications

    We expect that you have some years of experience as a Project Assistant, Personal Assistant or similar. As a person, you are reliable, systematic and pay attention to details, and it is important that you have good interpersonal skills and thrive in a role with many stakeholders.

  • Hold a relevant education within communication or administration;
  • Have good communication and English skills;
  • Have a structured work approach;
  • Are flexible, open-minded and positive;
  • Are a team player who is also able to work independently;
  • Thrive in an international environment;
  • Are an experienced user of Microsoft Office applications and SharePoint.
