Our Client is looking for a Vessel Agency Operator for the Northwest region of the Netherlands. The company is expanding and growing, we are looking for an enthusiastic and flexible Vessel Agency Operator.

Since 1997, our client has served various customers in the Oil and Gas industry. In recent years they have developed very strongly in the Offshore Wind market, creating space for new colleagues at various positions within the company.

VESSEL AGENCY OPERATOR

Reports to Location Manager or Operation Manager Vessel Agency for other ports


JOB SPECIFICATIONS

Responsibilities, tasks and authorities:

  • Execute vessel agency operations at assigned location(s)

  • Execute day to day operational process of port services from the start phase to finalization for specific vessel related projects in compliance with the govern rules including the QHSE aspects, encompassing amongst others;

  • Organizes vessel customs and immigration clearance, visa applications, hotel and transport bookings

  • Ensure that legislative rules are followed i.e. crew changes are reported promptly in respective systems, such as Portbase, Port Visit

  • Plans in and arranges equipment needed

  • Ensures on-off loading to be carried with either third party or company owned forklifts equipment

  • Arranges freight forwarding by air, sea and road in consultation with warehouse/office as appropriate and in line with Management System requirements, and ensure that the correct correspondence and registration is adhered too

  • Contacts and liaises with subcontractors for vessel attendance on client's instruction

  • Purchases vessel requirements on client's instruction and as per DHSS Management System requirements

  • Ensures what has been agreed upon with client is carried out and finalized and happens in compliance with the various applicable QHSE and contract requirements

  • Liaises and communicates with clients, suppliers, inspectorates and authorities

  • Ensures operational files are processed in a timely manner via/in the applicable systems, such as amongst others Portaal, Gateway and further systems for e.g. port and customs, are up to date and in line with book keeping standards and relevant and applicable rules and regulations

  • Operates in a on duty after office schedule

  • Maintain proper housekeeping of the company warehouse, offices considering also environmental aspects in case spillages and /or loose items

  • Maintain location facilities in line with Management System requirements

  • Report to, and consult with, Location Manager at regular basis on status, progress and planning and immediately in case of doubts and issues and as/if appropriate

  • Ensures that you work in a safe and healthy way, amongst others using PPE (see Personnel handbook and Arbo handbook) as and when required, various job have requires different PPE, keep your working area clean and tidy

  • You are responsible for your own safety, discuss and report unsafe acts and behavior

  • When equipment and/or tools are not working properly report this to your supervisor and stop the job and re-access

  • Create proper handover for your colleague(s) prior to go on leave and/or for Duty schedule as well as unfinished business

  • You have the responsibility to ensure that your training certificates, as well as other licenses and I.D. are valid for the job

  • Ensure that you report correctly when any deficiencies and changes arising, or any other business which needs immediate attention or a proper follow up, and operates according their Job Profile

  • Non routine jobs are jobs which are not frequently performed, you have the responsibility to use risk assessment and/or Job safety analysis to check all the steps which are taken to complete this job safely

  • Various clients have additional safety rules, policies and working instruction, make sure that these are understood and followed when operating for those clients

  • Functions in accordance with the company Management System

Profile

  • Organizational and team working skills

  • Flexible, no 8 to 17 mentality

  • Occasional travelling/assignment to other work locations

  • Able to speak and write English and Dutch

  • Good understanding of productivity software basics, such as Outlook, Word, Excel

  • MBO-level as a minimum

  • 1 to 5 years Experience in the agency business and logistics

  • Ability to understand the specific client's commercial/contract requirements
